How to Use the All Accounts View Features

About this guide

If you manage your fleet across multiple sub-accounts under one master account, the All Accounts view in Locate now lets you perform three key actions that previously required switching between sub-accounts:

  • Edit equipment from one central location, regardless of which sub-account a unit belongs to.
  • Transfer units in bulk between sub-accounts in a single action.
  • Create a live map share that includes equipment from multiple sub-accounts in one link.

Getting started — open the All Accounts view

Everything in this guide happens inside the All Accounts view. Here's how to get there:

  1. Sign in to Locate.
  2. At the top of the screen, open the account selector.
  3. Choose All Accounts from the list.

Once you're in the All Accounts view, the Equipment list, the map, and the live map share list show data from every sub-account you have access to. An Account column indicates which sub-account each unit belongs to.

Tip — Find units faster

  • Use the search box to find a unit by name or VIN.
  • Click the Account column to sort or filter by sub-account.
  • Use column filters to narrow the list by status, driver, or other fields.

How to edit equipment

Update any unit's details directly from the All Accounts view without switching sub-accounts.

  1. Open the Equipment list in the All Accounts view.
  2. Find the unit you want to update (scroll, search, or filter).
  3. Click the unit's name or the edit (pencil) icon.
  4. The edit panel will open (name, make, model etc.).
  5. Make your changes and click Save.

Good to know

  • Permissions: Your sub-account permissions still apply. If you can't edit a unit in its home sub-account, you can't edit it here.

How to transfer units in bulk

Move several units to a different sub-account in one go, even if they start in different locations.

  1. In the All Accounts view, open the Equipment list.
  2. Tick the checkbox next to each unit you want to move.
  3. In the toolbar at the top, click Change Account.
  4. In the dialog, choose the destination sub-account.
  5. Review the confirmation prompt (unit count and destination).
  6. Click Confirm.

Before you transfer checklist

Alerts/Geofences: These do not follow the unit. Set them up on the destination sub-account first.

History: Trip history and general history stay with the unit.

How to create a live map share across sub-accounts

Create one link for a customer or partner that shows vehicles from multiple sub-accounts.

  1. In the All Accounts view, goto Live map shares option.
  2. Click on "Add New".
  3. Choose an Owner Account: This sub-account will manage the share.
  4. Select one or more equipment from the drop down list.
  5. Click Save and copy the generated URL.

Choosing the Owner Account

  • Pick a long-lived sub-account; if the Owner Account is closed, the share is revoked.
  • The Owner Account cannot be changed after the share is created.

Frequently Asked Questions

  • Will existing links keep working? Yes, existing shares are unaffected.
  • What if I only have "view" access? You can see units, but the edit/transfer/share buttons will be greyed out if your role doesn't have permissions.
  • Does history stay after a transfer? Yes, trip history and points remain visible in the new sub-account.
